A fast, reservation screen utilizing a “Smart Find & Access” screen with Note-pads and calendars. Over booking controls are built-in. Rate and Room inventory management. Handles contracts’, packages, Groups and travel agent allocations etc. The module includes comprehensive reporting and forecasting facilities.
OVER BOOKING CONTROL:
An over booking percent can be set up against each room type. Alerts are activated when the # of rooms booked exceed the physical # of rooms but within. The overbooking limit. User can choose to manually confirm or wait-list a reservation.
GUEST HISTORY MANAGEMENT:
Complete Guest history maintenance module with relevant information such as Guest visit details, Guest revenue details, Personal details (contact address, spouse details, passport details etc.,), Company/Travel, Agent details, Likes and Dislikes, Guest Complaints etc. Checked out guest details are automatically posted and maintained In the Guest History system depending upon user defined parameter.
The software has an automatically search engine when the Guest name matching in which Guest History can be queried on and viewed. Wide range of search criteria include Birthday, Likes/Dislikes, Anniversary details, revenue details, Room Night contributions, Nationality based revenue, Company/city based revenue etc. Guest History is interfaced directly with the Reservation and Registration modules.
INTUITIVE ALERTS:
If a guest makes a reservation or checks in on his/her birthday or anniversary, An alert will automatically pop up informing the front desk agent / reservation asst of this event.
OCCUPANCY ANALYSIS REPORT:
Several reports on Occupancy, Room Availability (including hourly position), Occupancy statistics, Room status, Expected occupancy analysis for any given date, Travel agent forecasts, No-shows, Cancellation for the day, Out of Order Rooms etc are all available under the Front office module.
GROUP FUNCTIONALITY:
Group functions like group blocks, auto-assigning rooms for group reservations, Group messages etc form part of the group handling functions. Relevant reports on the Group revenue and forecasts are available.
TRAVEL AGENT UTILIZATION AND COMISSION REPORT:
Rooms can be allotted to Travel Agents based on room types and for a specific period. GuestCare updates this every time a travel agent makes a booking. Utilization reports compare the rooms allotted and utilized along with revenue and commission details.
NIGHT AUDIT:
No shutdown during night audit. All operational areas like Front office, Point of Sales, Telephones etc., remain functional even during the night audit process. If any Outlet bills are open the system prompts the auditor with appropriate messages.
CUSTOMER RELATIONSHIP MANAGEMENT:
CRM tools that store and retrieve data to provide a holistic view of a guest and their interactions with the hotel, interests, spending patterns etc. are provided under the CRM module. Turned away guest information can be entered in the system. Guest survey forms (templates) can be created and subsequent feedback entered. Analysis of guest responses can be listed or viewed graphically.
HOUSE KEEPING:
The housekeeping module caters to the managing of rooms – cleaning and out of order rooms, tracking discrepancies in room status etc. A Laundry billing sub module allows billing guest laundry directly to the rooms as well as controlling laundry rates. Job/ Task scheduling: Room cleaning tasks can be set up with the corresponding time taken to complete each task. Each room type can have a separate set of tasks linked to it. This will give you an estimated time. Required to clean any given room. A housekeeping task report is available that will list out all the rooms and display the tasks and time Required to clean each room based on whether it is a checked out room or stay-over.
